Organic Certification Readiness for Processors, Traders, Exporters & Storage Units in India : Part 2

This is Part 2 of a two-part series on organic certification readiness in India. This post picks up where the product leaves the farm gate. If you process, trade, export, or store organic goods, the readiness checklist looks completely different from a farmer's — segregation, packaging, cold chain, and facility hygiene replace soil pH and crop rotation. Most guides online only explain how to apply for certification; this post covers what your operation needs to already have in place before that application makes sense.


1. Segregation — The Non-Negotiable Rule

Under NPOP (National Programme for Organic Production), organic and non-organic product can never share space, time, or equipment without a full, verified cleaning cycle in between. This is the single most inspected requirement for any processing, trading, or storage operation.

In practice, this means:

  • Separate storage racks, bins, or clearly demarcated zones for organic stock — never shelved alongside conventional product
  • Every container, sack, and pallet individually labeled with batch and organic status
  • If equipment is shared with conventional processing (common for smaller operations), a dedicated time slot and a documented, verified cleaning step between runs — not just a quick wipe-down
  • Incoming organic ingredients checked and verified as certified before they even enter the facility, not after

An inspector's first walkthrough is essentially a segregation audit — they trace a batch from intake to output and check for any point of possible cross-contact along the way.


2. The Pest Control Hierarchy for Facilities

NPOP mandates a strict order of priority for pest control in processing and storage units, and skipping straight to a "convenient" chemical option is one of the fastest ways to fail an inspection:

  1. Prevention first — sealing entry points, eliminating pest habitat, proper sanitation
  2. Mechanical, physical, and biological methods — traps, barriers, natural predators, and approved natural substances
  3. Approved substances only as a last resort — and only from NPOP's specific permitted list

Two hard disqualifiers to know: Ethylene Oxide (ETO) fumigation is strictly prohibited under NPOP, and irradiation is prohibited outright. Both are common in conventional grain, spice, and dry goods storage in India — if you're converting an existing conventional facility, this is often the single biggest practice change required.

Cost-effective, certification-safe alternatives:

  • Food-grade diatomaceous earth (DE) — a natural, silica-based powder that controls grain and stored-product pests mechanically (it damages the insect's exoskeleton, causing dehydration) rather than chemically. It's recognized as a permitted non-synthetic input in organic standards, doesn't alter the taste or safety of stored grain, and remains effective indefinitely as long as it stays dry. Typical application is roughly 1–2 lbs per ton of grain, or a light dusting of empty storage areas before restocking.
  • Airtight/sealed storage — the simplest prevention step, and one that also protects against moisture and mold
  • Pheromone traps for monitoring — same principle as the farm-level traps covered in Part 1, used here to catch early signs of infestation in a warehouse before it spreads

3. Water Testing & Facility Hygiene

Water source documentation is required at the facility level just as it is on the farm — any water used in processing, washing, or as an ingredient needs a verified source and quality record.

Cleaning rules are stricter than most conventional facilities expect: only approved cleaning substances can be used, and after any detergent use, a mandatory clean-water rinse is required — residual chemical spraying or fumigant-based disinfection is not permitted. Processing and handling of organic product must also be separated in time or place from any non-organic handling in the same facility, and every product must remain identifiable and traceable through the entire process, from intake to final packaging.


4. Packaging & Storage — Cost-Effective Options

NPOP recognizes a specific set of storage methods as organic-compliant: controlled atmosphere storage, cooling, freezing, drying, and humidity regulation. Outside of these, any storage treatment needs to be checked against the permitted-substances list before use.

Packaging considerations worth planning for early:

  • Vacuum sealing and modified atmosphere packaging (MAP) extend shelf life and act as a physical barrier against temperature and moisture damage during transit — useful for both domestic trading and export
  • Biodegradable or recyclable packaging reinforces the "organic" positioning to end buyers and increasingly matters for export markets with their own packaging-waste regulations
  • Thermal insulation appropriate to transit time matters more than people expect — a short domestic truck run and a multi-week ocean shipment need very different packaging investments

5. Cold Chain & Temperature Monitoring for Export

For exporters specifically, temperature control isn't just a quality issue — it's compliance documentation. Certifying bodies and importing countries alike expect a temperature record covering the full transit, not just a claim that cold storage was used.

Where things actually go wrong: port cold storage and transshipment points are consistently the highest-risk stage for temperature excursions — not the main transit leg, which is usually well-controlled by the carrier.

Practical, low-cost option for smaller exporters: basic single-use or reusable USB temperature data loggers are available in India starting from roughly ₹1,200–2,000 per unit, generating an automatic PDF or Excel report at the end of the shipment — no specialized software required. This is a realistic entry point before investing in enterprise-grade real-time cloud-monitoring systems, and the exported report itself becomes your compliance record.


6. Choosing Your Certification Scope

Certification for this segment isn't one-size-fits-all — NPOP recognizes distinct operator types, and what you need to document depends on which one (or combination) applies to you:

  • Processors need facility-level segregation, pest control, and hygiene documentation as covered above
  • Traders/exporters need a verified paper trail proving every batch they buy and sell is genuinely certified organic at each change of hands — this is often the most overlooked requirement, since traders don't always touch or transform the product physically
  • Storage/handling units need segregation and pest control documentation similar to processors, even if no processing actually happens on-site

If you operate across more than one of these roles — common for a small exporter who also stores and lightly processes product — your certification scope needs to explicitly cover each activity, not just the primary one.


Closing

Certification for processors, traders, exporters, and storage units comes down to one theme repeated in every section above: proof of separation. Separation from conventional product, separation of clean from contaminated processes, and a documented, unbroken trail from farm gate to final buyer. Build that proof into your operation from day one, and the certification application becomes a formality rather than a scramble.
